Privacy Statement 

By interacting with Inspiring Girls Singapore (“IGS”) as staff, members, subscribers, donors, interns, volunteers and clients (including potential volunteers and clients) (collectively “Users”), and/or by your continued engagement and/or employment with us, you agree and consent to us, as well as our respective agents (collectively referred to herein as “Inspiring Girls Singapore”, "IGS", "us", "we" or "our"), the collection, use, disclosure and sharing amongst themselves your Personal Data that is subject to the Singapore Personal Data Protection Act (No. 26 of 2012) (“Act”), and disclosing such Personal Data to our authorised service providers and relevant third parties in the manner set forth in this Data Protection Policy. 

A) Collection and Use of Personal Information

All personal information that we collect from Users is strictly for the purpose of running IGS and not for any commercial reason.

1.     In this Data Protection Policy, “Personal Data” refers to any data, whether true or not, about an individual who can be identified (a) from that data; or (b) from that data and other information to which we have or are likely to have access, including data in our records as may be updated from time to time.

2.     sending you details of services, events and programmes, whether by email, newsletter or otherwise;

3.     managing the administrative and business operations of IGS and complying with internal policies and procedures.  Examples are managing and evaluating project proposals or tenders, processing and payment of invoices; drafting and reviewing of contracts and agreements;

4.     maintaining security of any premises occupied, operated or otherwise utilised by IGS or third party (including but not limited to CCTV surveillance);

5.     obtaining or providing access to services, events or programmes, including physical access to locations, venues, buildings etc where such services, events or programmes may be held;

6.     conducting research, generating reports and analytics in relation to our services, and understanding and determining preferences and demographics for us to review, develop and improve our services, events and programmes;

7.     applying for and maintaining insurance deemed necessary by IGS;

8.     meeting or complying with any applicable rules, laws, regulations, codes of practice or guidelines issued by any legal or regulatory bodies which are binding on IGS (including but not limited to audit checks);

9.     legal purposes (including but not limited to drafting and reviewing documents, and obtaining legal advice);

10.  generally, administration, management and/or evaluative purposes and/or any of the other legitimate activities of FWAS; and purposes which are reasonably related to the aforesaid.

11.  Further, if you attend events or programmes organised, managed, administered or publicised by IGS, by attending such events, you agree and consent to the use of your photograph, voice, likeness, and image in any broadcasts of such event and in subsequent productions drawn from video or audio recordings of such event. The photographs and recordings may be published or broadcasted in IGS publications and in publicity materials, including IGS’s websites and social media. All recordings, articles, quotes, photographs, films, audio or video and/or any reproductions of same in any form, are the property of IGS. IGS, its affiliates, employees, representatives and agents are released from any and all claims, demands, costs and liability that may arise from the use of these interviews, recordings, photographs, videotapes or films, and/or any reproductions of same in any form, as described above, arising out of being interviewed, recorded, photographed, videotaped or filmed. If you do not wish to have your photos/audio-visual recordings taken at such event, it is your responsibility to remove yourself from group and candid shots/recordings that the photographers/videographers intend to capture.

12.  In addition, IGS collects, uses and discloses your Personal Data for the following purposes depending on the nature of our relationship with you:

12.1.        Employment or Representative

12.1.1.           If you submit an application to us as a candidate for an employment or representative position, FWAS collects, uses and discloses your Personal Data for the following purposes:

12.1.2.           conducting interviews;

12.1.3.           processing your application (including pre-recruitment checks involving your qualifications);

12.1.4.           providing or obtaining employee references and for background screening; processing employment pass applications, visa applications and offer of employment;

12.1.5.           evaluating and assessing your suitability for the position applied for; and

12.1.6.           any other purposes reasonably related to any of the above. 

12.2.   Program Volunteer

12.2.1.           IGS programs require a high standard of assessment because the organisation works with children. IGS has a role to play in their protection.  Therefore this can only be done confidently and effectively if IGS have the necessary information to keep children safe.  Program volunteers are termed as “role models”, “Program Support” and “IGS Tribe” at a community level.

12.2.2.           If you submit an application to us as a candidate for a Role Models position or Program Support position, IGS collects, uses and discloses your Personal Data for the following purposes:

12.2.3.           conducting interviews;

12.2.4.           processing your application (including pre-recruitment checks involving your qualifications);

12.2.5.           providing personal information for background screening to assess your suitability;

12.2.6.           evaluating and assessing your suitability for the position applied for; and any other purposes reasonably related to any of the above.

If you have provided your Singapore telephone number(s) and have indicated that you consent to receiving marketing or promotional information via your Singapore telephone number(s), then from time to time, IGS may contact you using such Singapore telephone number(s) (including via voice calls, text, fax, email or other means) with information about our programs and services.

B) Contacting Us – Withdrawal of Consent, Access and Correction of your Personal Data

 13.  Disclosure to Third Parties

Except where it is necessary to grant access to data intermediaries (for example, vendors and contractors engaged by IGS for the provision of software maintenance and other services, including helpline system, call log system, etc.) and/or as otherwise permitted under the PDPA, IGS does not provide any User’s personally identifiable information to a third party without the User’s consent.

14.  Updating/Correction of Personal Data

IGS endeavours to record all Users’ personal data accurately. In the event a User notices any error in his/her personal data held by IGS or if his/her personal information has changed, he/she should notify IGS by sending an email (together with proof of identity including name, phone number, email and postal address) to Contact@Inspiring-girls.com. The correction will be made as soon as possible but not later than 60 days from receipt of notification. The request will be denied if IGS is not able to contact the User, or he/she is not able to provide satisfactory proof of identity.

15.   CCTV

The IGS premises operate CCTV systems by third party, so any visitor to the premises may be recorded. The CCTV is installed for security, to protect both visitors and IGS staff and volunteers. CCTV footage will be viewed only when necessary (for example to detect or prevent a crime) and is stored on a temporary basis, other than where it has been flagged for review.

 

16.  Protection and Security of Personal Information

IGS will take all reasonable steps to ensure that the personal data of Users is securely stored or filed.


17. Retention of Personal Information

IGS retains the personal data of Users only for as long as it is required to fulfil the purpose for which it was collected and in any event not for longer than 5 years after termination of the relevant User’s relationship with IGS e.g. cessation of provision of services to a client; termination of membership, volunteer, employment etc., unless it is necessary to do so for legal or business reasons,

18.1. If you withdraw your consent to any or all use of your Personal Data, depending on the nature of your request, IGS may not be in a position to continue to provide its services to you, administer our relationship with you, and may be considered a termination by you of the relationship you have with IGS.

18.2. Please note that if your Personal Data has been provided to us by a third party, you should contact that party to make such queries, complaints, and access and correction requests to IGS on your behalf.

18.3. This Data Protection Policy supplements and does not supersede nor replace any other consents you may have previously provided to IGS in respect of your Personal Data, and your consents herein are additional to any rights which to we may have at law to collect, use or disclose your personal data.

18.4. IGS may from time to time update this Data Protection Policy to ensure that this Data Protection Policy is consistent with our future developments, industry trends and/or any changes in legal or regulatory requirements. Subject to your rights at law, you agree to be bound by the prevailing terms of the Data Protection Policy as updated from time to time on our website.
